A plain-language summary of what we collect when you get in touch through this website, why we collect it, and how we look after it.

Who we are

This website is run by Grange IT Group Ltd (company number 16101342), an IT and AI consultancy working with small and medium businesses in the UK. Where we decide how and why your personal information is used, we are the data controller for it.

Our registered office is 71-75 Shelton Street, London, WC2H 9JQ. If you have any questions about this notice or your information, ask our website assistant and it will pass your request to the team.

What we collect

We only collect what you choose to share with us. Depending on how you use the site, that can include:

  • Contact details you give us, such as your name, email address and, if you offer them, your company and phone number, when you ask our assistant to put you in touch or to book a call.
  • The message or enquiry you send, so we can understand what you need and reply.
  • Your chat with our assistant. We keep a record of these conversations so our team can follow up properly and improve how the assistant helps people. Please keep anything sensitive or confidential out of the chat.
  • Call bookings. If you book a call, we take your name, email and a short note of what you'd like to discuss.
  • Your answers to the AI readiness check, if you use it. We add your name and email only if you ask us to email you the report.
  • Basic usage information, such as whether a chat was opened or a message was sent, which helps us keep the site working well.
  • Technical data such as your IP address, used to help keep the site secure and prevent abuse. We don't use it to track you around the web.

How we use it

We use the details you share to reply to your enquiry, arrange a call if you have asked for one, and follow up about the work you are interested in. We do not sell your information, and we do not use it for unrelated marketing without your agreement.

When you use our assistant, the messages you send are processed by a third-party AI provider (named below) so it can respond. Please keep sensitive or confidential information out of the chat.

Who we share it with

We don't sell your information or share it for anyone else's marketing. We use a small number of established providers to operate the site and our communications, and each receives only the information it needs:

  • OpenAI: the text of the messages you send to our assistant.
  • Microsoft: your name, email and appointment details when you book a call.
  • Postmark: your name, email and the content of the messages we email to you or to the team.
  • Cloudflare: your IP address and a security token from your browser.

Sending information outside the UK

Some of these providers are based outside the UK and the European Economic Area, so your information may be processed in other countries. Where that happens, we rely on the appropriate safeguards allowed under UK data protection law to keep it protected.

Legal basis

Where you contact us about working together, we handle your information on the basis of taking steps at your request before entering into a contract, and our legitimate interest in responding to enquiries about our services. Keeping the site secure and preventing abuse rests on our legitimate interest in doing so. Where consent applies, you can withdraw it at any time.

How long we keep it

We keep enquiry details and chat records for as long as we need them to deal with your request and to keep a record of our correspondence, then we remove them. If we take on work together, related records are kept in line with our normal business and accounting requirements.

Cookies and similar technologies

We keep this light. We use a small identifier in your browser so the chat can keep your conversation together while you're on the site, and a cookie may be set to help keep the site secure. We don't use advertising or cross-site tracking cookies.

Your rights

You have rights over your personal information under UK data protection law: the right to ask for a copy of what we hold, to have it corrected, to ask us to delete it, and to restrict or object to how we use it, as well as the right to data portability where it applies.

To make a request, ask our website assistant to pass it to the team, or write to us at our registered office, 71-75 Shelton Street, London, WC2H 9JQ. You also have the right to complain to the Information Commissioner's Office (ICO).

Changes to this notice

If how we use your information changes, we'll update this page and the date shown at the top.
